Moving from Excel and WhatsApp chats to a proper CRM is easy to start and easy to get wrong. This step-by-step guide keeps your data clean and your team on board.
Why Spreadsheets Stop Working
Spreadsheets are a fine start. They stop working when several people edit the same lists, follow-ups get missed, and nobody can see the whole pipeline. Our comparison of CRM vs spreadsheets covers the tipping point. This guide covers what to do once you decide to move.
Step 1: Gather Every Source
Customer data rarely lives in one file. Collect the sales spreadsheets, exported email contacts, WhatsApp contact lists, and any old accounting exports into one working folder before touching the CRM.
Step 2: Clean Before You Import
Remove duplicates, standardise phone numbers to international format (+971), fix company name variations, and delete dead records. Importing dirty data into a new system just moves the mess somewhere shinier.
Step 3: Map Columns to CRM Fields
List each spreadsheet column and decide which CRM field it becomes. Free-text columns like "Notes" or "Status" often need converting into proper dropdown stages so you can report on them later.
Step 4: Test with a Small Batch
Import 50 records first and check them line by line. Confirm dates, phone formats, and owner assignments landed correctly. Fix the mapping, then import the rest.
Step 5: Define Your Pipeline Stages
Agree on a small set of clear stages that match how you actually sell, such as new enquiry, quotation sent, negotiation, won, and lost. Too many stages make people stop updating them.
Step 6: Retire the Old Spreadsheets
Set a firm cut-off date after which the CRM is the only source of truth. Make the old files read-only. If both stay editable, staff will keep using whichever is familiar and the CRM will quietly die.
Step 7: Train on the Daily Routine
Show each person the three or four actions they do daily: log a call, move a deal, set a follow-up, send a WhatsApp message from the record. See our guide to WhatsApp CRM integration for keeping conversations in one place.
