ERP Implementation Checklist for UAE SMEs: 10 Steps Before You Sign

Most ERP projects do not fail because of the software. They fail because of unclear scope, messy data, and untrained staff. Use this checklist before you commit.

1. Write Down the Problems, Not the Features

Start with a plain list of what is broken: stock mismatches, slow month-end, manual invoicing. Vendors will happily sell you every module. A problem list keeps you buying only what fixes your actual pain and gives you a way to judge success later.

2. Name One Internal Owner

Every successful implementation has one internal person with authority to make decisions between departments. Without an owner, decisions stall and the project drifts. This is usually the single biggest predictor of outcome.

3. Map Your Real Processes First

Draw how orders, purchases, and payments actually move today, including the workarounds. Automating a broken process just makes the mistakes faster. Decide what to fix before it is configured into the system.

4. Clean Your Data Before Migration

Duplicate customers, inconsistent item codes, and outdated suppliers will follow you into the new system unless cleaned first. Budget real time for this. It is dull work and it decides whether reports are trustworthy on day one.

5. Confirm UAE Tax and Compliance Support

Check that the system handles VAT correctly, produces compliant tax invoices, and can adapt as UAE e-invoicing requirements roll out. Confirm the current requirements with your accountant and the Federal Tax Authority guidance rather than relying on a vendor claim.

6. Insist on Phased Delivery

Go live module by module, for example inventory and purchasing first, then sales and finance, rather than a single big-bang launch. Phasing limits risk and lets the team absorb change. Our ERP provider guide explains how to evaluate delivery approaches.

7. Plan Training Around Real Roles

Train each role on the exact tasks they perform, using your own data, not a generic demo. Short, role-based sessions plus a quick reference sheet beat one long classroom day.

8. Run Parallel Before Cutover

Run the old and new systems side by side for at least one full closing cycle and reconcile the results. Differences found here are cheap to fix. The same differences found after cutover are not.

9. Agree Support and Ownership Terms

Clarify who fixes issues after go-live, response times, who owns the customisations and source code, and what happens if you change provider. See how this compares with a custom-built approach, where you own the code outright.

10. Measure Against the Original Problems

Three months after go-live, return to your problem list from step one. Did stock accuracy improve? Did month-end shrink? Honest measurement tells you what to tune next.
